About Schengen Business Visa

A Schengen business visa is necessary if you want to conduct business in any of the Schengen countries. People who wish to travel solely to the Schengen region for business must apply for this short-term entry permit.

It allows you to visit one or more Schengen countries to attend meetings, trade fairs, conferences, negotiations and other business-related activities in EU/Schengen Zone.

This visa is issued as a uniform Schengen visa, which is valid for up to 90 days within a 180-day period. This Type C Uniform Schengen visa is issued for business visits and can be issued for single, double, or multiple entries.

Who is Eligible for a Schengen Business Visa?

To apply for a Business Schengen visa, you must first determine whether you qualify for it. This visa is necessary for all non-EU/Schengen citizens who do not have a visa liberalisation agreement with the EU.

You can apply for a Schengen business visa from India in case you meet one or more of the following screening criteria:

  • If you need to attend business meetings, trade fairs, participate in a business conference or negotiations
  • If you're visiting to explore potential business opportunities such as investments, partnerships, etc. within the Schengen region
  • If you need to negotiate deals, contracts, or agreements with a client, supplier or business partner(s) in a Schengen country
  • In case you plan to attend a workshop, seminar, or training session related to your business in Europe
  • If your business visit is to meet a client or stakeholder from your company's branch in the Schengen area
  • If you are visiting the area to participate in an exhibition, promotional event, trade show, etc., to showcase your services or products
  • If you need to participate in any business-related activity like product demonstration, product launch or site visits

Once you have determined your exact business purpose of visiting a Schengen state, you can start with your Schengen visa application preparation.

How to Apply for a Schengen Business Visa?

After determining the eligibility and purpose of your business visit, you can proceed with your Schengen business visa application. Here are the steps you need to follow:

  1. Find out Your VAC

    Most Schengen visa applications are handled by a designated VAC or Visa Application Centre. However, in some cases, you may need to contact the embassy or consulate of your destination Schengen state for additional information. For Indian applicants, most Schengen states have designated VFS Global or BLS International for Schengen visa application processing.

  2. Fill out the Schengen Business Visa Application

    You can download the standard Schengen visa application form, fill it out, and print it. After signing, you can prepare other documents for your Schengen visa appointment.

  3. Schedule your Schengen Visa Appointment

    Once you have determined your visa application centre and completed your application, you must schedule an appointment to submit your application, supporting documents and biometrics.

    Book a slot according to your convenience, however, please remember that slot availability is limited due to high demand. You may also find a slot much later if applying during the busy season. Make sure to inquire about appointments and take at least three weeks to apply for your Schengen visa for business.

  4. Prepare Necessary Documents

    You must prepare and collect all the necessary documents required for your Business Schengen visa application form. These are the general documents required by most Schengen states:

    • Completed Schengen visa application form
    • A valid Indian passport
    • Two photos taken within the last 3 months, must meet the specified Schengen visa photo requirements for that country
    • Round trip flight confirmation along with trip itinerary
    • Valid Schengen travel insurance policy with minimum EUR 30,000 coverage
    • Proof of accommodation throughout your stay in the Schengen state
    • Proof of sufficient funds
    • Evidence of paid Schengen visa fees
    • Invitation letter by the business partner or company from the Schengen area.

    Additional Documents for Schengen Business Visa Application

    • Work contract if you are an employee
    • Business certificate or license if self-employed
    • Trade fair ticket and an invitation letter from an exhibitor if you are attending a trade fair
  5. Attend Your Visa Interview

    Indian applicants must prepare all the required documents and submit them at the designated visa application centre. You must submit your application at the centre in person, as you also need to submit your biometric information.

  6. Wait For Your Schengen Business Visa

    Once you have submitted your visa application and completed all the formalities, you must wait at least 15 days to get an update. Schengen visa processing time mostly ranges from 15 to 45 days so you must apply accordingly.

    You will also get a notification of the date you can pick your passport after your Schengen business visa have been approved.

How Much is the Schengen Business Visa Fee?

Since a Schengen business visa is issued under a Type C visa, the fee is the same as the short-term visa. For adults, the fee is EUR 90.

Is it easy to Get a Schengen Business Visa?

Applying for a business visa to visit the Schengen region is similar to applying for a Schengen tourist visa. You must meet all the requirements, provide accurate information and any other additional information required by your Schengen member state.

You must read all the requirements carefully so that you don't make any mistakes during the procedure. It will reduce the chances of any Schengen visa rejection. Some of the most common reasons include incomplete information, lack of sufficient funds, unclear travel itinerary, lack of adequate travel medical insurance, etc. However, in case your visa application is still rejected then you can also appeal the decision.
